We understand that travel plans can change. This Refund Policy outlines the terms and conditions for cancellations and refunds for Deep Into China travel experiences.
Important: We strongly recommend purchasing travel insurance to protect your investment against unforeseen circumstances.
1. Cancellation Timeline and Refunds
1.1 Standard Cancellation Policy
Refund amounts are based on the number of days before your experience start date:
- 45+ days before departure: Full refund minus $200 USD administrative fee
- 30-44 days before departure: 75% refund
- 15-29 days before departure: 50% refund
- 7-14 days before departure: 25% refund
- Less than 7 days before departure: No refund
1.2 Weekend Experiences (1-2 days)
For shorter experiences, a modified timeline applies:
- 14+ days before departure: Full refund minus $100 USD administrative fee
- 7-13 days before departure: 50% refund
- Less than 7 days before departure: No refund
2. How to Request a Cancellation
To cancel your booking:
- Email us at hello@deepintochina.com with your booking reference number
- Include "Cancellation Request" in the subject line
- We will confirm receipt within 24 hours
- Refunds will be processed within 10-14 business days
3. Non-Refundable Situations
No refund will be provided in the following cases:
- Visa denial or passport issues (we recommend applying for visas well in advance)
- Failure to arrive at meeting points or missed departures
- Early departure or voluntary withdrawal during the experience
- Removal from the experience due to inappropriate conduct
- Personal reasons including illness (travel insurance may cover this)
4. Force Majeure and Extraordinary Circumstances
4.1 Events Beyond Our Control
In cases of force majeure (natural disasters, pandemics, war, government restrictions), we will:
- Offer to reschedule your experience to a future date with no penalty
- Provide a credit voucher valid for 24 months
- If neither option is acceptable, provide a 50% refund
4.2 Cancellation by Deep Into China
If we cancel your experience due to insufficient bookings or operational reasons:
- You will receive a full refund (100%)
- Or you may choose to transfer to an alternative experience of equal or greater value
5. Changes to Bookings
5.1 Date Changes
You may request to change your travel dates:
- 30+ days before departure: One free date change, subject to availability
- Less than 30 days: $150 USD change fee, subject to availability
5.2 Experience Upgrades
You may upgrade to a more expensive experience by paying the price difference, subject to availability.
6. Partial Refunds
Partial refunds are not available for:
- Unused portions of your experience
- Optional activities you choose not to participate in
- Meals or accommodations you do not use
7. Refund Processing
7.1 Processing Time
- Refunds are processed within 10-14 business days of cancellation approval
- Refunds are issued to the original payment method
- Additional processing time may be required by your bank or credit card company
7.2 Currency
Refunds are issued in USD. Currency exchange rates may vary from the time of original payment.
8. Travel Insurance
We strongly recommend purchasing comprehensive travel insurance that covers:
- Trip cancellation and interruption
- Medical emergencies
- Lost or delayed baggage
- Travel delays
Travel insurance may provide coverage for situations not covered by our refund policy.
9. Disputes
If you disagree with a refund decision:

- We will review your case within 5 business days
- Our decision will be final unless resolved through mediation or arbitration as outlined in our Terms of Service
